Statewide tornado drill at 10:07 a.m. this Friday

The University will participate in a statewide tornado safety drill on Friday, March 3, at approximately 10:07 a.m.  As our HR team occupies several different buildings across campus, please take a moment to review the tornado/severe weather procedures and use UK’s StormReady website to find the safest location for you during a tornado or other severe storm.

On Friday, the drill will begin with a UK Alert notification. A significant portion of the drill is to assess how well communications are working, so please be sure to participate in the short UK Alert Survey at the end of the drill.

HR team members are encouraged to participate in the drill, both by assessing communications and by physically reporting to the safe location for their building during the drill if possible. However, we realize business operations may not make this a realistic possibility for all units. If you are unable to participate in the drill, please be sure to check your UK Alert information and find your building’s safe location at a minimum.

Don’t forget to sign up for Customer Service Onboarding

onboardingSpots are filling up fast to attend the final HR Customer Service Onboarding sessions. If you haven’t yet attended, you can log into myUK to sign up. Under the Employee Self Service tab, click Training, then Training again. From there, click HR Training and Development in the left menu. Click HR Staff Training, then HR Customer Service Onboarding. You can sign up for one of the remaining sessions:

  • June 17
  • June 23
  • June 24

Also, thank you to everyone who has gone through the training and begun using the HR Wiki. Since the training sessions began May 23, HR team members have made 14 page updates. We hope everyone continues to use the wiki to ensure we all have the most up-to-date information about our division.

HR Wiki revealed tomorrow, May 18

As we know, all good things are worth the wait, and so it is with regard to our new HR wiki. After all the questions have been asked, the information gathered, and the edits back in, the HR Customer Service Onboarding committee is pleased to present your HR wiki  officially, tomorrow, May 18.

Wikipedia allows anyone to make edits. To that end the HR wiki will also be an open source where anyone will be able to make appropriate edits. While we plan to incorporate the wiki in our HR Customer Service Onboarding training, we encourage you to begin playing around in it when it’s available tomorrow, get familiar, and most of all use it!

This resource is in direct response to the results of our Work-Life survey and internal and external reviews where employees asked for a better understanding of what other HR units do to help facilitate an experience of service excellence for our customers.

Thank you for your participation—many hands make light work and this certainly would not have been achievable without the help of each one you.  Remember, when there are changes in your departments, “#PutItInTheWiki!”

HR customer service onboarding training available

The HR Customer Service Onboarding pilot workshop is available in ESS for sign up! Please go to the Employee Self Service tab in myUK and click on the HR Training and Development link, and then HR Staff Training to register. The location for the all-day workshops will be the Boone Center library which includes continental breakfast and lunch. We are asking everyone to participate in order to create a cohesive understanding of what all departments in HR do to advance our already great customer service. We look forward to seeing you in one of the five workshops!

Wiki FYI

First, thank you to all who were able to provide valuable knowledge during the information gathering sessions for your specific departments. We certainly could not have done this without you! The information that was gathered not only supported the knowledge transfer for the customer service onboarding training, but also helps to build a bridge that was missing based on feedback from the UK@Work survey results and both the internal and external reviews. As we fine tune the last edits, our hope is for individuals to make this a living document that is dynamic and relevant to your needs.

Feedback from Feb. 29 onboarding pilot

A big thanks to all of the participants who attended the Feb. 29 HR Customer Service Onboarding pre-pilot training! Lots of good information was shared, and we had several “a-ha” moments — all in a great location.

After the pre-pilot, we gathered feedback. A couple of things  we can address real-time came up. They are as follows:

  1. An HR wide contact list
  2. HR Organizational chart

These are easy enough to resolve because we  have an up-to-date HR-wide contact list on the J: drive. The path is: J:HRPublic\Phone Lists. Click on HR Phone List Feb 2016. (We do plan to add contact information in the HR Wiki we’re working on, but while we’re under construction you can go to the J: drive for a current contact list.)

The other quick fix  we can provide is the location of the HR organizational chart. It is actually located online in SuccessFactors. Click on the “Employee Self Service” tab in myUK. When that opens up, click on the “Performance Management” link and it will open up SuccessFactors where you will find in the “Links” box the listing for “Org Chart.” It will start with you as the point of reference, so click the box that says “Up One Level” to expand the org chart. Aside from HR, you can view an org chart for the entire University on this page.

HR wiki update: As information is assembled into a succinct format, it will be sent back to departments for approval. Please make sure to get them back as soon as possible as we prepare for a test run at the end of March. The information will be compiled on an HR wiki, which team members can access for quick reference.

Reminder: Please keep those photos coming for the Wiki! Having a picture to go with a name helps everyone know who’s who in HR as we reshuffle and add new folks to the department.

Give us your best shot

As we create the HR onboarding training, which all HR team members will receive later in the spring, we plan to build an internal website which will house important information about each of the units within HR.

On the site, we would like to include organizational charts of each unit, along with photos. If you have a head shot you would like us to use in the organizational chart, please upload it here.

We’re looking forward to the pre-pilot on Feb. 29, where a small group of HR team members will experience the training and then help us further develop it for the entire division.

Onboarding assessment: How we did

Many of you have asked about the results from the pre-assessment HR team members took back in December. While we are not revealing the answers just yet, you can view this report to see what percentage of employees answered each question correctly. Please note: The answers are included in the HR Customer Service Onboarding training, and a post-assessment will be administered in June or July to see how our results improve. The training will then become part of the onboarding for new employees as they join HR.

HR onboarding update

Lots of great information has been collected from various departments so far. With this information, we will be able to create an intranet Wiki for us to search for answers to better serve our customers – think of it as an HR Wikipedia! The first pilot is rolling out Feb. 29, and Ace Award nominees are getting a chance to participate and give valuable feedback for the sessions before all team members take part in late spring or early summer.

Next steps to HR onboarding

Thank you to everyone who took the HR onboarding pre-assessment last month. Congratulations to Employment and Health & Wellness, which each had participation of more than 80 percent. Many of you have expressed interest in finding out the correct answers. Good news: You’ll learn all the answers by attending either the pilot onboarding session Feb. 29 or the HR-wide rollout later in the spring.

In the meantime, you can help us create the onboarding program. Deb Graham and Maria Fischer-Boothe from Training & Development will be reaching out to all the points of contact (POC) and subject matter experts (SME) to gain a better understanding of each department within HR. This information will be critical as we present the  training to all current HR staff and eventually make it part of the onboarding for all new HR team members.

If you are a subject matter expert, you can begin entering important information about your department through a shared Google form. If you have not already done so, you may need to set up a Google Apps account.
